Integrated systems and plug-ins

This is where things get hairy. Let’s start with the simple stuff: plug-ins. Most plug-ins installed in SFDC don’t really mind deduping and probably won’t corrupt anything when you merge. But read that word “most” – you must test with your particular configuration of plug-ins to make sure nothing nasty happens.

While this may appear to be common sense, a lot of companies implement a deduplication tool without completely understanding how it works. This refers to both the technical aspects of the solution and how it meets your business needs.

Teach Your Employees How It Works

Regardless of the product you choose, your employees will have an opinion on it one way or the other. This is why it is important to tell your users why this is such a good change and how it will help them in their day-to-day jobs.

Follow Good Change Management Practices

While a lot of attention has been given to the technical and business aspects of the tool itself, the transition will entirely depend on you. Thesis does not have to be a painful, cumbersome process especially if the old deduplication tool was not getting the job done.

The only way to know if you made the right decision in implementing the tool is to keep track of key metrics which goes beyond simply counting how many duplicates you have. For Example, look at things like the sales activity of each representative.

Remember, it’s not an overnight fix. This is an ongoing process that will take some time to get cleaned up and for your users to get adjusted to. Remind yourself of this if and/or when the duplicate records reappear. Regularly set aside time to clean up your data and update your processes and documentation.

One of the biggest benefits you get with a machine learning-based approach is active learning. Basically, when you label two records as duplicates (or not) the system will “learn” from these actions and will adjust its algorithms accordingly to identify such records as duplicates or unique in the future.

When you are using a traditional rule-based tool to dedupe your Salesforce, you will need to set up complex rules to catch all of the “fuzzy” duplicates. This is very time-consuming and is a futile effort since there is no way you can set up a rule for each possible scenario.

Scheduling a Salesforce Report

In Lightning, you can subscribe to up to five reports, which you will then receive via email. To subscribe, a user must have access to the folder a report is stored in.

Salesforce Custom Report Types

In some instances, the native reports just won’t cut it. Perhaps you need to report on more than 2 objects, or you want a report to display records “without” other associated records, for example, Contacts without Accounts. In this instance, you would need to create a custom report type.
